Competition rules
Who can enter?
Senior, Junior and Postal members may enter Club competitions. If you are not financial on 30 April, you may not enter again until paying your subscription for the current year.
Copyright
Submission of an entry is taken by the Club as a declaration by you that you own copyright in the entry, and all components of it, if it is a composite image. Any breach of copyright or privacy laws is entirely YOUR responsibility, and by entering, you agree to indemnify the club against any claims for breach of copyright or privacy laws arising from your entries.
Breach of Rules
It is your responsibility to ensure that your entries comply with the Competition Rules. Non-compliant entries may be disqualified, regardless of when the breach is detected. The score and any awards made to an entry which is disqualified after being judged in a competition will be revoked.
Sections
The club runs competitions in the following sections:
- Open Colour Prints
- Open Monochrome Prints
- Set Subject (print and projected on alternating months)
- Open Projected
- Mono Projected
- Feedback Only Projected (comments only – no scores)
See the Club Program for the sections which will be run each month, and the topics for the set subject section. Currently Club meetings comprise all the print sections one month, and all the projected sections the next.
Entry limits
You can submit a maximum of four entries per meeting. Only one entry is permitted in the Feedback Only Projected section. Other entries can be in whatever sections you like.
Content
Entries in all sections must be entirely or dominantly of photographic origin. Entries may also contain graphic design elements. All components of an entry must be your work – you must have taken (all) the photograph(s), and created any graphic design work. Graphic designs selected from a software menu are NOT permitted.
Depiction of artworks
You should only include visual artworks, (such as paintings, prints, and sculptures) in an entry if the art is not the main subject, or you have composed the image in such a way that it is not simply a straight record of the art.
Similar images
Substantially similar images, or more than one version of a single image, must not be entered on the same competition night.
Digital processing
You should, as far as possible, process your entries yourself. If you need help, you should be involved in the processing, and the outcome should reflect your concept of the final result.
Printing
Help may be obtained with printing and commercially printed work is allowed.
Titles
You must give each of your entries a title of no more than 28 characters, including spaces, and it must be different from all titles you have used before, unless you are submitting the image for the second time.
Presentation of prints
Prints must be mounted on single thickness mats. Clearly mark the back of your print with your name, title and the section entered. A 'this way up' arrow may help if the correct orientation is not obvious.
Print dimensions
The long dimension in the following specifications may be either vertical or horizontal.
- The long side of a print must be between 210mm and 420mm, while the short side must be between 140mm and 210mm.
- Maximum mat size - No more than 110mm larger than the image length in each dimension. For example - the maximum mat size for an A4 print (297mm x 210mm) is 407mm x 320mm.
Digital Files
The following specifications apply to ALL digital files submitted when entering a competition regardless of whether they are for print or projected sections.
- JPEG format, sRGB colour space
- Correctly orientated (portrait or landscape)
- Maximum width - 1920 pixels
- Maximum height - 1080 pixels
For landscape-oriented images with width to height ratios equal to or greater than 16:9, the width must be 1920 pixels. For all other images, the height must be 1080 pixels. The image will then fit exactly in a 1920 x 1080-pixel box (ie it will appear as large as possible on a Full High Definition display)
- Maximum file size - 2MB
- File name - Same as image title
You will normally need to downsize your files to meet these requirements. Below are downloadable pdfs which show how to do this using either Faststone or Photoshop.

Submission of entries
Entries must be submitted online by midnight on the Sunday prior to the competition, using the Entry form link.
You will be asked to input the image title and the corresponding JPEG file for each print or projected entry. An email acknowledging receipt of your entries will be sent after they have been uploaded to the Club computer. Normally this will be on the Monday after entries close.
Contact the Competition Secretary ([email protected]) if you have not received this email by 3pm on the Tuesday before the competition.
Please hand in your print entries at the competition desk by 6:45pm on the Competition night to allow them to be checked off and hung prior to the start of judging at 7:00pm.
Scores
Judging is based on points out of 10 for all sections, other than the Feedback Only Digital section, which is not scored.
Honours and Merits are awarded by the judge according to the Club's quota. Members receiving an Honour or Merit will be presented with an award card at the following meeting.
Resubmission
You can enter for a second time any image which receives a score of 7 or less, or which was originally submitted in the Feedback Only Digital section.
The image can be modified prior to resubmission but must keep its original title.
